This page informs you of our policies regarding the collection, use, and disclosure of personal information we receive from users of the Site.
We use your Personal Information only for providing our services, improving the Site, administering our business operations, and keeping you updated with electronic communications.
By using the Site, you agree to the collection and use of information in accordance with this policy.
Information Collection and Use
While using our Site, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. Personally identifiable information may include but is not limited to your name, address, email address, and phone number (“Personal Information“).
Browsing Anonymously
You may browse the Site anonymously. If you identify yourself to us, at that stage we will collect your Personal Information.
Log Data
Like many site operators, we collect information that your browser sends whenever you visit our Site (“Log Data“). This Log Data may include information such as your computer’s Internet Protocol (“IP“) address, browser type, browser version, the pages of our Site that you visit, the time and date of your visit, the time spent on those pages and other statistics. In addition, we may use third party services such as Google Analytics that collect, monitor and analyse this Log Data.
Use of Artificial Intelligence (AI)
Overview
The Naturally Clean Co uses artificial intelligence (AI) tools and technologies to assist with certain business operations. We are committed to being transparent about how AI is used in connection with your Personal Information, in line with the Australian Privacy Principles (APPs) and guidance from the Office of the Australian Information Commissioner (OAIC).
How We Use AI
We may use AI-assisted tools to support the following business activities:
- Responding to client enquiries and drafting communications (e.g. email responses to service requests)
- Managing and organising leads and customer relationship data
- Processing and reconciling contractor invoices and financial records
- Scheduling and coordinating cleaning services
- Triaging and categorising incoming correspondence
- General data parsing, organisation, and administrative support
What Personal Information AI May Process
In the course of the activities described above, AI tools may process the following types of Personal Information:
- Your name, email address, phone number, and physical address
- Details of your service enquiry or booking (e.g. property type, cleaning requirements, preferred dates)
- Communication history (e.g. email content related to your enquiry or service)
- Invoice and payment reference information (note: AI does not have access to credit card numbers or bank account details)
Third-Party AI Service Providers
We use third-party AI platforms (such as Anthropic’s Claude) to provide these AI-assisted capabilities. When your Personal Information is processed by these tools, it may be transmitted to and temporarily processed by the AI service provider’s systems. We select AI providers that maintain appropriate data security measures and we review their privacy and data handling practices. We do not permit AI providers to use your Personal Information for their own purposes, such as training AI models, where we are able to control this through our agreements and platform settings.
Human Oversight and Decision-Making
AI is used as an assistive tool to support our team, not to replace human judgement. All AI-generated outputs (such as draft emails, data summaries, or scheduling suggestions) are reviewed and approved by a member of our team before any action is taken that affects you. No decisions that could significantly affect your rights or interests are made solely by AI without human involvement.
Data Retention and AI
Personal Information processed by AI tools is handled in accordance with our standard data retention practices. We do not store your Personal Information within AI systems beyond what is necessary to complete the relevant task. Conversation histories with AI tools may be retained for quality assurance and operational continuity, but are subject to the same security and access controls as all other business data.
Your Rights Regarding AI Processing
You have the right to:
- Ask us whether AI has been used in processing your Personal Information
- Request a human review of any AI-assisted decision that affects you
- Request that your Personal Information not be processed by AI tools (where practicable)
- Contact us for more information about how AI is used in our operations
To exercise any of these rights, please contact us at [email protected].
Third-Party Service Providers
To deliver our services and operate our business, we use a range of third-party platforms and service providers that may collect, store, or process your Personal Information on our behalf. We take reasonable steps to ensure these providers handle your information in accordance with the Australian Privacy Principles.
Communications and Telephony
We use third-party telecommunications providers (such as Zintel) to manage our business phone lines. Voicemail services (such as Zoom) may transcribe voice messages and forward them to our email. Your name, phone number, and the content of any voicemail you leave may be processed by these providers.
Website Forms and Customer Enquiries
Enquiry forms on our website are processed through third-party form and customer relationship management (CRM) platforms (such as HubSpot). When you submit a form, the information you provide, including your name, contact details, and message, may be stored in these systems for the purpose of responding to your enquiry and managing our relationship with you.
Workflow Automation and Task Management
We use automation platforms (such as Zapier) to connect our business tools and streamline operations. This may involve the transfer of your Personal Information between systems, for example, passing enquiry details from our email to our task management platform (such as ClickUp) so our team can respond promptly. These platforms process data only as instructed by us and in accordance with their own privacy policies.
Booking and Scheduling
Our primary booking and operations platform is Automaid (Launch27). Your Personal Information, including your name, contact details, address, booking preferences, and service history, is stored within this system. This platform is central to how we manage scheduling, service delivery, and customer records.
Payments and Financial Processing
Credit card payments are processed securely through Stripe, as described in the Payment section of this policy. For invoiced customers, we use accounting software (such as QuickBooks) to manage invoicing, payment records, and financial reporting. We can only view the last four digits and expiry date of stored cards; full card details are held exclusively by the payment processor.
Email and Business Productivity
We use Google Workspace (including Gmail, Google Sheets, and Google Drive) for email communications, data analysis, and general business administration. Your Personal Information may be stored and processed within Google’s infrastructure when we communicate with you or analyse service data.
Analytics and Website Monitoring
As noted in the Log Data section, we use Google Analytics to monitor and analyse website usage. This service may collect anonymised or pseudonymised data about your browsing behaviour on our Site.
Artificial Intelligence
Our use of AI service providers (such as Anthropic’s Claude) is described in detail in the “Use of Artificial Intelligence” section above.
This list reflects the key platforms in use at the time of this policy’s last update. We may change or add service providers from time to time. Where we do so, we will ensure any new providers meet appropriate privacy and security standards. If you have questions about a specific provider, please contact us at [email protected].
Communications
We may use your Personal Information to contact you with newsletters, marketing or promotional materials and other information about our Service update or changes. Some communications may be drafted or assisted by AI tools, though all outgoing messages are reviewed and approved by our team before being sent. You may unsubscribe from direct marketing at any time.
Disclosure
We may disclose your personal information if we are required to do so by law, or if you violate our Terms and Conditions. We may also disclose Personal Information to third-party service providers, including AI platforms, booking systems, CRM tools, and payment processors, as described in the “Use of Artificial Intelligence” and “Third-Party Service Providers” sections above, solely for the purpose of delivering our services and administering our business operations.
Payment
All payments made through our Site will be processed by Stripe via an SSL connection for credit card processing and passed back to our Site when complete. We do not hold card details.
All transactional data is stored on a secure site hosted by Stripe. Please refer to Stripe Privacy Policy available at their website.
Collecting sensitive information
We do not actively collect sensitive information about you, including information about your health, racial or ethnic origin, political opinions, religious beliefs, sexual orientation or criminal history. We will take steps to appropriately protect any sensitive information we do receive.
Cookies
Cookies are files with small amounts of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a website and stored on your computer’s hard drive. Like many sites, we use “cookies” to collect information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Site.
Security
The security of your Personal Information is important to us, but remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security. Where AI tools or third-party platforms are used to process your data, we take reasonable steps to ensure those tools meet appropriate security standards, including encryption of data in transit and at rest.

We reserve the right to update or change our Privacy Policy at any time and you should check this Privacy Policy periodically. Changes will apply once posted on our website.
Your continued use of the Service after we post any modifications to the Privacy Policy on this page will constitute your acknowledgment of the modifications and your consent to abide and be bound by the modified Privacy Policy.
